The Operations Manager is responsible for ensuring that the production of all Indiana Wind Symphony events runs smoothly, effectively and in a financially responsible manner.

Responsibilities
General
Coordinate rehearsal space for weekly rehearsals during the concert season and the summer rehearsal schedule
Rent and drive a box truck and load and unload expensive and sensitive equipment; submit paperwork to the Executive Director
Set up (with help from ensemble members) all chairs and stands for each rehearsal and performance, which can include up to 12 performances in a calendar year. Arrange for others to complete this work at least seven days ahead of the event if not available.
Perform other duties as assigned by the Executive Director and/or the Music Director
Concert production and run outs
Coordinate with the Executive Director and Music Director in planning concert programs to ensure complete understanding of all production aspects of events.
Work closely with the Executive Director and/or Music Director regarding special setup requirements.
Day-of activities
Load and unload stage equipment, instruments and supplies to and from trucks and position the equipment on stage/at the venue
Return items safely to the lender or storage as appropriate/directed
Arrive backstage at least one hour early before a rehearsal to begin to check all preparations and inform personnel and stage crew
Coordinate concert production activities with the Music Director and Executive Director as appropriate
Compensation: $2,000 per calendar year, paid monthly in electronic payments

The Music Librarian is responsible for managing the organization, acquisition, preparation, distribution and storage of musical scores and parts for the Indiana Wind Symphony. This person supports the artistic vision of the ensemble by ensuring that all music is performance-ready, properly marked and accessible to musicians and conductors throughout the rehearsal and concert cycle.

Strong interpersonal skills and the ability to work with conductors, musicians and administrative staff effectively and on time.
Proficiency with digital platforms and products including Google, Microsoft applications, and Adobe applications. Knowledge of and the ability to research and learn music management software is helpful.
Responsibilities
Music acquisition and procurement
Work with the Music Director to deliver the repertoire for each concert to all band members through their section leaders no later than two rehearsals ahead of the beginning of each concert cycle.
Research and source music from publishers, rental libraries and/or other ensembles. Arrange for the Executive Director or Treasurer to make purchases on behalf of the organization.
Manage purchase and rental agreements, including licensing and copyright as necessary.
Track shipments of music, verify parts for completeness and manage returns.
Music preparation and distribution
Understand, use and distribute music electronically to the section leaders.
Maintain the condition of the music in the music library, stored offsite. Repair worn or damaged music.
Library management
Catalog all music in a digital database.
Organize storage (e.g., folders, scores, parts) so that music is easily retrievable.
Maintain accurate records of what is owned, rented or borrowed.
Ensure safe storage of physical music to prolong its lifespan (e.g., environmental controls, shelving).
Administrative duties
Develop and manage the library budget (e.g., rental costs, purchase, repair).
Maintain library vendor, publisher and rental contacts.
Generate annual reports on repertoire, inventory and usage (performance dates and locations).
Ensure compliance with copyright, licensing and performance rights and submit ASCAP/BMI use to Concert Band Association.
Collaboration and communication
Work closely and effectively with the Music Director, Executive Director,guest conductors and administrative staff.
Communicate promptly with musicians about music availability, changes and logistics.
Train and manage any student, volunteer or part-time staff assistants (when applicable).
Compensation: $2,500 per calendar year, paid monthly in electronic payments

The grant writer for the Indiana Wind Symphony is a part-time contractor (up to 20 hours a month) who is responsible for identifying funding opportunities, developing compelling proposals and managing grant reporting to support the mission, artistic projects, outreach programs and operational needs of the Indiana Wind Symphony. This person works closely with the IWS executive director, the board president and the music director to secure sustainable funding that enhances IWS performances, education initiatives and community impact.
Requirements
Proven professional experience in grant writing, nonprofit fundraising or arts administration (2+ years)
Strong writing, editing and storytelling skills
Experience with arts organizations, community music groups or education nonprofits
Ability to manage multiple deadlines, maintain organized digital records and work collaboratively
Knowledge and understanding of nonprofit budgeting and outcome measurement
Responsibilities
Grant research and strategy
Identify local, regional and national grant opportunities aligned with arts, culture, education and community enrichment
Maintain a database of funders, including foundations, corporate partners and government agencies, expanding the active grant prospect list by new funders every year
Maintain and distribute a grants calendar with deadlines, requirements and reporting schedules
Proposal development
Write, send for review and submit to funders clear, persuasive, accurate, mission-aligned and timely grant proposals for general operating support, concerts, festivals, equipment, commissions and educational outreach
Work with artistic and administrative leaders to gather program details, budgets and metrics
Tailor proposals to funder priorities and ensure narrative consistency with organizational goals
Grant management and reporting
Oversee and submit required reports, financial documentation and outcomes data
Track awarded funds and share restrictions and deliverables with the executive director and the board president with periodic attendance at monthly evening board meetings
Ensure compliance with all grant guidelines and stewardship expectations, helping the Indiana Wind Symphony maintain funder trust
Maintain accurate and accessible digital grant files, calendars and tracking tools
Relationship building
Cultivate relationships with foundation staff, corporate giving officers and civic arts funders, and build multi-year grant relationships with recurring funders
Represent the organization at community events, funder and arts advocacy meetings if needed
Provide regular monthly updates to the executive director and the board president about the grant process
Organizational support
Support the strategic plan by aligning grants with organizational growth priorities
Contribute to improving fundraising strategy through data insights and funder feedback
Assist with donor stewardship materials, annual fund messaging and sponsorship proposals as needed
Review process: The grant writer will be assessed on the basis of completing assigned duties, skill level, initiative, productivity, professionalism and attitude. Position performance will be reviewed following the first concert season (August-May) and every other season thereafter by the IWS board of directors.
Compensation: $7,500 per calendar year, paid monthly in electronic payments
